Director, Graduate Business Programs Admissions and Operations
The Miami Herbert Business School (MHBS) has an exciting opportunity for a full-time Director of Graduate Business Admissions and Operations to work at the Coral Gables Campus.

The Director for the Graduate Business Office with the Miami Herbert Business School (MHBS) oversees the day-to-day operational and administrative functions and facilitates the admissions and administrative management within the Miami Herbert Business School graduate business programs enrollment department. This role is responsible for supporting all functions of the Graduate Business Programs (GBP) Admissions Office, including the student application process, including system management, data and document processing, as well as prospect, applicant, and admitted student support and communications. This position is responsible for thorough administrative and operational oversight, including student engagement efforts, improving the operational and application process and partic ipates in all activities related to the admission of students to graduate study at MHBS. The incumbent operates with the goal of delivering high quality programs to the University faculty and staff and other key stakeholders. Furthermore, the Director provides guidance and mentorship to program staff to encourage professional development.

Plans, implements, evaluates, and monitors organization-wide development programs.
Implements project plans related to the delivery of new and on-going professional development programs.
Works with internal stakeholders so that the program runs efficient and effectively.
Evaluates and measures the effectiveness of assigned programs.
Ensures that operations are managed within authorized budgets.
Collects, manages, and reports program data.
Develops and cultivates relationships and partnerships with various external entities and organizations to further department functions.
Recruits, supervises, evaluates, and disciplines department staff to ensure optimum performance.
Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Functions
Serves as main contact for graduate business programs office and the operations team to ensure a seamless and effective application process for students, including data and document processing, prospect, applicant, and admitted student support and communications as well as assisting and supporting in admissions related recruiting events as needed.
Manages data and document processing for applicants to the Graduate Business Program, ensuring data flows and matches in relevant database systems.
Manages initial admitted student correspondence and student matriculation for all admitted students, with 100% accuracy.
Supports all Operations functions, procedures, systems, priorities, and schedules to ensure all application deadlines are met.
Assists with verification of applicant information to ensure no fraudulent activity or misrepresentation.
Reviews admitted students’ official transcripts for completeness and accuracy. Verifies data in Salesforce, CaneLink and systems.
Manages relationships with students, including coaching on various visa options and processes and trouble-shoot a myriad of visa scenarios for students and family members.
Oversee Admissions Service Representatives. Ensures staff are trained, developed and empowered to effectively perform their roles.
Maintains communication with operations team to monitor and evaluate admissions process.
Conducts training sessions for staff to assist in developing and accessing outcomes. Outlines new processes and communications in an efficient and effective manner.
Builds effective relationship with the University Graduate Admissions office, International Admissions office, Central IT office, among others.
Assists the Graduate Admissions Team in managing student assistants, who are essential in carrying out office duties. Assistance includes scheduling office hours, training and coordination of the master event schedule. Additional responsibilities for ensuring assigned projects are being completed effectively and within quality standards.
Manages data capture and reporting from recruiting events including application workshops, lead nurture events, etc.
If/when necessary makes calls, set appointments and review programs with potential students while logging all interactions on Salesforce.
Emails individual leads to show unique interactions (again log in Salesforce).
Assists with the generation of Admission and Rejection, Fellowship letters, brochure enclosures, Statement of Financial Responsibility, and others as required.
Partners with various university colleagues to optimize operations. Measures and reports on program effectiveness. Collaborates with Graduate Business Programs colleagues to increase admissions effectiveness. When necessary, collaborates with MHBS international relations manager, executive education, development and alumni relations, university graduate school, etc. to leverage departmental effectiveness. University Graduate Admissions office, International Admissions office, and Central IT office, among others.
Coordinates and assists with event management initiatives and engagements.
Identifies new needs and emerging issues and prepares suggestions for program innovation and/or student experience enhancements.
Graduate Student Organizations contributions:
Serves as the lead for the Business school with central university.
Sends updates to all club members (COVID guidelines, recent changes with UM Graduate Student Association).
Reviews updates with club presidents and discuss pending materials.
Provides guidance and support to execute events hosted by individual organizations (including review of budgets and university guidelines).
Plans and organizes special meetings with the Vice Dean and clubs.
Takes notes of action items and initiates follow up and updates).
Reviews budgets and approves request Sends communications to all graduate students regarding initiatives from club members.
Works on end of semester reviews of each club with Vice Dean and establish discussion of evaluations.
Department Specific Qualifications

Bachelor’s Degree in Business, Higher Education, Management or relevant field required
Minimum 4 years of relevant experience
A combination of relevant education and experience may be considered
Knowledge, Skills and Attitudes:

Excellent verbal/written communication and attention to detail.
Demonstrable entrepreneurial spirit, interpersonal skills and experience in relationship building in a fast-paced environment with strong attention to detail is required.

Strong computer database system experience and reporting preferred.
Proficient in MS Outlook, Excel, and PowerPoint. Prior Salesforce experience is preferred.
Demonstrated ability to learn and master new systems.
Knowledge of business and management principles.
Ability to direct, manage, implement, and evaluate department operations.
Ability to establish department goals, and objectives that support the strategic plan.
Ability to effectively plan, prioritize, delegate and/or supervise the work of others.
Ability to lead, motivate, develop, and train others.
