The Otto Richter Library has an exciting opportunity for a full-time Library Technician to work in the Coral Gables Campus.
The individual is responsible for library work of a highly complex nature, requiring much independent judgment based on extensive knowledge of library policies and procedures. The Library Technician is responsible for processing and placing orders submitted by librarian selectors in the Richter Library, as well as all branch libraries, the Interlibrary Loan & Course Reserves Unit, and through patron requests. This position is also responsible for the loading of electronic vendor records, the distribution of materials from all sources to the Metadata & Discovery Services Department, and for submitting invoices for payment, including detailed documentation of credit card purchases. This regular, full-time position works normal business hours.
Receives order requests from Interlibrary Loan & Course Reserves Unit and library faculty, many of them time sensitive.
Identifies appropriate sources for purchasing materials, downloads or creates bibliographic records and PO lines in the integrated electronic library system, and monitors order fulfillment and payment.
Uses GOBI website, as well as a wide variety of established and new online vendors.
Creates new vendor records in library system as needed.
Communicates with vendors about material availability, delivery times, and payment methods; follows up when needed.
Frequently exchanges information with library faculty, clarifying requests and updating them on order status of requested materials.
Creates and maintains spreadsheets to keep track of requests, orders, and invoice payments.
Downloads electronic vendor records using existing load profiles, resolves discrepancies and identifies potential duplicates.
Uses corporate purchasing card as needed; maintains records of orders, verifies receipt of materials, claims delayed orders and processes refunds, promptly submits detailed receipts for monthly statement and follows reconciliation procedures.
Knows how to read and interpret fund accounting reports and monitors availability of funds related to order requests.
Oversees the receipt of print books and other physical materials and ensures timely transfer to Metadata & Discovery Services Department.
Communicates with Metadata & Discovery Services staff regarding time sensitive items and assists in problem solving with any questions related to received materials and order records.
Receives invoice pdfs and file notifications from many different vendors. Delegates invoices for payment to appropriate staff members, but knows how to processes invoices in Alma, if necessary.
The Acquisitions Library Technician reports to the Manager of Monographic Resources and may provide training for support staff. Works with Library faculty and staff in all Library departments and branches, Acquisitions student employees, and University vendors. In all contacts, the incumbent is expected to be professional and courteous.
QUALIFICATIONS (Education, Experience, Skills, Training, etc.)
High School Diploma or equivalent, some college preferred
Library experience in an academic library, preferably within a technical services environment
Preference given to candidates with experience using GOBI ordering system, as well as Alma library services platform (Ex Libris)
Knowledge of spreadsheet software, Excel preferred
Knowledge of word processing and electronic mail, Word and Outlook preferred
Aptitude for detail and accuracy
Analytical and critical thinking skills
Excellent organizational skills
Ability to work cooperatively and productively with others
Excellent oral and written English language skills
Reading knowledge of one or more foreign languages preferred
