The Department of Surgery is currently seeking a Sr. Patient Access Representative. The incumbent in this position will be responsible for the registration of patients to the clinic based on multiple types of services; prioritizes registrations, as appropriate. Obtains pertinent information from the patient, informs the patient or their representatives of financial requirements, collecting when necessary according to established guidelines and financial policy.
Performs full registration ensuring that insurance is verified and all information is correct.
Verifies patient demographic and insurance information and edits information as necessary.
Obtains copies of insurance cards, driver licenses, and HMO referrals/authorization when applicable. Assures all demographic insurance information is accurate, complete, and up to date on the patient’s screen.
Explains Consent for Treatment, Financial Liability, and HIPAA (if applicable) to the patient; obtains signatures.
Determines the appropriate questionnaires required by individual physicians and instruct patient to complete, before their visit.
Prints an arrival label and instructs the patient to the appropriate waiting area.
Reconciles all vouchers placing them by providers
May serve as a team lead or subject matter expert to other employees
Monitors patient flow and communicates to the Clinic Supervisor of any issues, including wait times, in the registration area throughout the day.
Schedules follow-up appointments as indicated by the physician (Disposition notes) adhering to Patient Appointments Policies and Procedures. Email clinic directions as requested by patient
Re-schedule patients on “Wait List” for sooner appointment
Ensure that the correct dept has been used for scheduling New Patients ie: Site Disease for Surgical Oncology, Endocrine Surgery and Colo-Rectal Surgery.
Review NP to ensure Nurse Navigation has obtained medical records prior to patients visit
Edits, Cancels, No-Shows patient appointment accurately with a zero % margin of error rate.
Contact all No-show appointments for rescheduling
Follows Patient Appointment guidelines on overbooking, scheduling, appointment types, etc.
Notify Endocrine Surgery patients of Ultrasound performed in clinic. Facility fee will be charged
Scan medical records in Media Manager
Review encounter closures
Answer incoming telephone calls within 4 rings
Assist patients with telehealth set up and send telehealth instructions to patients as well as connects the patient with the physician
Assist faculty with Tele health visits
Close clinic gaps to allow for efficient scheduling and to allow for new patients to be brought in sooner
Work up PLR’s to reschedule patients
Email patients Surgery Covid letter
Work with Surgical Schedulers on advising patients that need surgery as indicated in physician disposition notes
Performs other duties as assigned.
High school diploma or equivalent education is required
Three years of relevant work experience
