Support Services Clerk


Job Description:

The Support Services Clerk is responsible for working in the Copy Center and Post Office, as well as providing high quality copying and mail distribution support to the college community. This is a 25 hour a week position eligible for full-time benefits.

Basic Responsibilities:

  • Participate in maintaining an efficient Copy Center and Post Office by performing all duties assigned to each department.
  • Establish and maintain a good reputation among campus customers with regards to efficiency, quality, and courteousness.
  • Prioritize and maintain the quality and timeliness if the Copy Center and Post Office services.
  • Play a crucial role in ensuring that dangerous goods do not enter the mail stream both on and off campus.
  • Provide occasional supervision to student employees.
  • Perform other duties as assigned.

Specific Responsibilities:

  • Participate in maintaining an efficient Copy Center by performing all duties as assigned (Primary Assignment).
    • Operate copiers, folder, laminator, paper cutter, binders, and other machinery pertaining to Copy Center duties.
    • Develop the knowledge and skills necessary to effectively operate and maintain equipment.
    • Enter billing of copy jobs into charge back accounting system.
    • Submit meter readings and order supplies.
    • Prioritize workflow and print jobs with regards to due dates and times.
    • Maintain an inventory of office supplies.
    • Maintain a balanced cash drawer.
    • Use a computer and related software to prepare documents for printing, copying, and/or finishing.
    • Remain current on copyright policy to ensure that all materials produced by the Copy Center are in compliance.
  • Participate in maintaining an efficient Post Office by performing all duties as assigned (Secondary Assignment).
    • Sort, distribute forward, and deliver USPS and departmental mail.
    • Process and meter all outgoing USPS mail.
    • Deliver mail, packages, print jobs, and supplies to the college community.
    • Remain current with USPS procedures and regulations
    • Operate postage meter, postage scale, fax machine, and all other equipment pertinent to job functions.
    • Maintain a balanced cash drawer and stamp inventory.
    • Operate a web-based tracking system to log, locate, and deliver parcels.
    • Assist customers with preparing items for shipment.
    • Alert supervisor of any suspicious items / deliveries.
    • Support the receiving and delivery of mail and packages from USPS, UPS, FedEx, Amazon, and all other couriers.
    • Complete and maintain DOT HAZMAT Basic General Awareness Training
    • Complete mandated USPS trainings (annually)

Information Security Role: Data User

  • Follow the policies and procedures established by the appropriate Data Stewards.
  • Comply with federal and state laws and regulations as well as College policies, procedures, and standards associated with the College computing resources and institutional data used.
  • Use institutional data only as required for the conduct of College business within the scope of employment.
  • Implement safeguards prescribed by appropriate Data Stewards for Limited Access and Restricted Data.
  • Ensure the appropriateness, accuracy, and timeliness of institutional data used for the conduct of College business.
  • Report any unauthorized access, data misuse, or data quality issues to the appropriate Data Steward for remediation.
  • Accept and complete the confidentiality statement yearly if access includes Restricted data.
  • Report any suspected data breach to the CIO and the IT Help Desk as soon as possible.


Requirements:

Qualifications:

  • High School Diploma or equivalent
  • Valid driver's license with two or less points
  • Good interpersonal communication skills
  • Good customer service skills
  • Ability to stand for long periods of time
  • Good organizational skills
  • Ability to perform multiple duties and respond to short notices / deadlines
  • Proficient in Microsoft Windows / Mac OS
  • Open to professional growth and campus training

Working Conditions:

The majority of work will take place indoors. However, there may be times when the employee is required to navigate the campus on foot as well as being able to access all campus buildings (with or without elevators). Exposure to operating equipment is consistent with that of a copy center / production setting. Work environment may be noisy at times.

Physical Characteristics:

This position requires standing for long periods of time, as well as bending and stooping while working with equipment. This position requires the ability to deliver mail throughout campus on foot and via automobile during all types of adverse weather conditions. This position requires the ability to lift 70lbs.
